Job Description

The Amalgamated Sugar Company LLC is seeking an Administrative Assistant – Engineering. This position performs a wide variety of demanding administrative duties primarily for the Director of Environmental Affairs. Independent judgment and inter-departmental collaboration and coordination across various levels of the organization are required.

More specifically, this position will perform administrative duties from normal correspondence to highly technical reports ensuring timeliness, accuracy and confidential handling of sensitive matters as well as assist with the preparation of company-wide environmental related documents including permit applications, draft permits, reports and other associated correspondence. This position is responsible for the collection and distribution of a variety of reports as well as the compiling of information for management to create accurate and timely departmental reports.

Additional Responsibilities:
• Maintain the company’s Operating Manual on a yearly basis.
• Print, organize, file and distribute as needed all daily condensed, daily operating and weekly reports.
• Create various spreadsheets for comparing or analyzing operations & costs.
• Monitor all company-wide fuel analysis reports; files and do a weighted average for all shipments for heating values and other constituents for both operations and environmental reports.
• Make necessary arrangements, appointments and preparations for company meetings and travel for environmental department.
• Assist in the Acquisitions & Improvements process with filing of all approved expenditures and prepare reports on a monthly basis which tracks the capital budget, actual expenditures and physical completion of the jobs and the reason(s) the expenses are over-budge or under.
• Perform other duties as required.

Job Requirements

• Completion of high school diploma or equivalent required.
• Minimum 3-5 years of experience in office administration.
• Considerable knowledge of Word, Excel, PowerPoint, Adobe and some JD Edwards.
